What are Workflow Templates?#

Workflow Templates are pre-built research execution plans that cover the most common professional research scenarios — competitive intelligence, market entry, investment due diligence, technology landscape, talent intelligence, and more. Each template defines the agent sequence, output sections, and research approach needed to produce a high-quality report for its domain.

What makes PromptReports templates different from other AI template systems: when you select a template from inside the Research Wizard, it does not start from scratch. It receives your full wizard session context — your curated sources, your knowledge base, your topic analysis, target audience, and domain — as first-class structured input. A "Competitive Landscape Map" template launched after you have curated 25 sources about your industry delivers a completely different (and far more precise) report than the same template launched with a blank topic.

Getting Started#

Workflow Templates are accessed from Step 5 (Generate) of the Research Wizard. You do not need to do anything special to unlock templates — they are available to all users on the Starter plan and above.

Start the Research Wizard

Open the wizard from the sidebar (Start Research) or command palette (Cmd+K → "start research").

Complete Steps 1–4

Define your topic, configure intelligence, discover sources, and review your workspace. The more sources and context you add, the richer the template output will be.

Reach Step 5 (Generate)

At Step 5, you will see two execution mode buttons at the top: "Generate Report" and "Run as Workflow". Click "Run as Workflow" to access templates.

Select a template

Browse your saved workflows or click "Browse Templates" to open the in-wizard template library. Select a template and click "Launch Workflow".

Track progress

Step 5 transitions to a live stage tracker showing each agent as it runs. When complete, a link to your output appears.

Choosing Your Execution Mode#

Step 5 of the Research Wizard now presents two execution paths side by side:

When you click Run as Workflow, the report form collapses and is replaced by the Workflow Selector — a panel showing your saved workflows and a "Browse Templates" button for the 50-template library.

Browsing the Template Library#

Click Browse Templates in the Workflow Selector to open the in-wizard template browser. The browser opens pre-filtered to the category that best matches your wizard topic — so if your topic is in the "technology" domain, you will see technology templates first.

You can also browse the full template marketplace at /marketplace/workflows without entering the wizard. The marketplace page has the same category filters, sort options, and preview modals — plus the ability to use any template to start a new wizard session.

AI Agent Workflow vs Research Scan#

When you click Run as Workflow, a two-tab selector lets you choose which execution system to use:

AI Agent Workflow

Routes to the OrchestratorWorkflow engine. Multiple AI agents run in parallel or sequence — each handling a specific research task (source collection, synthesis, verification, formatting). Best for complex, one-off research with multi-source synthesis.

Research Scan Workflow

Routes to the ResearchWorkflow engine. Designed for recurring, scheduled intelligence — weekly competitive monitors, monthly market reports. The wizard context becomes the scan configuration. Best for repeatable research at cadence.

The 50 pre-built templates in the library are primarily ResearchWorkflow templates — they are the research scan type. Your own saved AI Agent Workflows (built in the Workflow Builder) appear under the "AI Agent Workflows" tab in the selector.

Launching a Workflow#

Once you have selected a template (or your own workflow), click Launch Workflow. Here is what happens next:

Context snapshot is created

All your wizard context — topic analysis, curated sources, knowledge base ID, target audience, categories, domain — is packaged into a structured WizardWorkflowInput payload and attached to the workflow run record.

Workflow run is created

A ResearchWorkflowRun (or WorkflowExecution for agent workflows) is created and linked to your wizard session. You receive a run ID.

Execution begins

The workflow engine begins executing. For research scan templates, this means starting the scan pipeline with your wizard context as the seed. For agent workflows, the orchestrator begins assigning stages to agents.

Step 5 transitions to live tracking

The wizard transitions to the progress view (see below). You can watch each stage complete in real time.

Output is delivered

When execution completes, a link to your report or workflow output appears. Click to view the results.

Live Progress Tracking#

After launching a workflow, Step 5 transitions to a progress view that polls the workflow engine and displays real-time stage updates. Each stage appears as it starts and completes.

Progress updates automatically every few seconds. You do not need to refresh the page. If you close the browser while a workflow is running, the execution continues in the background. Return to the wizard to see the final status.

The template library contains 50 pre-built research templates across 7 professional domains. Each template defines the agent sequence, output sections, and research methodology for its use case.

Rating Templates#

After running a template, you can rate it from 1 to 5 stars with an optional text review. Ratings help surface the best-performing templates in the "Top Rated" sort and drive continuous quality improvement.

Complete a workflow run

The Rate button appears on a template card after your workflow run completes. It is not available before completion.

Click Rate on the template card

On the marketplace page, find the template you used and click the star rating control on the card.

Submit your rating

Select 1–5 stars. Optionally add a short text review describing your experience. Click Submit.

Frequently Asked Questions#

Do I have to use a template, or can I use my own workflow?
You can use any of your saved workflows from the Workflow Builder. Templates are optional. In the Workflow Selector at Step 5, your saved workflows appear first, and the "Browse Templates" button opens the library separately.

What happens to my wizard context after I launch a workflow?
A snapshot of your full wizard session is saved to the ResearchWorkflowRun.wizardInput field. This means you can revisit the run later and know exactly what context was used. The wizard state is preserved in your browser during the session.

Can I run the same template multiple times with different topics?
Yes. Each wizard session is independent. Run the wizard on a new topic, reach Step 5, select the same template, and launch — the template receives the new session's context. No two runs will produce the same output because the source curation and topic analysis differ.

How long does a workflow template run take?
Typical research scan workflows take 3–8 minutes depending on the number of sources and the complexity of the output. The template preview modal shows an estimated run time for each template. AI Agent workflows (multi-stage parallel pipelines) may take longer.

Are templates visible to other users?
The 50 pre-built templates are public and visible to all users. Workflows you save personally are private to your account unless you explicitly publish them to the marketplace.

What is the difference between "Use Template" on the marketplace page and launching from the wizard?
"Use Template" on the marketplace page starts a new wizard session pre-configured with the template's topic. Launching from inside the wizard skips that step — it applies the template to your already-configured session, preserving all the research work you did in Steps 1–4.

Can I schedule a template to run automatically?
Yes. After launching from the wizard, navigate to the My Workflows page (/research/analytics). Your workflow run appears there and can be given a recurring schedule (daily, weekly, or monthly) so the template re-runs automatically with fresh data.

What if the workflow fails mid-run?
If a run fails, the progress tracker shows a failed status with an error message and a "Retry" button. Click Retry to return to the Workflow Selector and relaunch. Failed runs do not count toward the template's purchase count.
